Communications Assistant 6 month FTC/attachment
BBC Studios exists to generate commercial returns from BBC programmes and other British content. This allows us to make a significant cash return to the BBC each year – helping to fund much-loved programmes enjoyed in the UK and beyond – and to showcase and support the UK’s television industry on the world stage.
We have an exciting opportunity for an organised and ambitious team player to join our communications team on a 6 month contract/attachment. This unique role has two facets, which split between supporting the business needs of the BBC Studios Press Office and the Director of Communications with administrative support and provides administrative and project support to the Brands & Content, Corporate and Internal Comms Teams as required.
This ideal candidate will have previous administration and PA experience in a fast paced environment and be comfortable splitting your time as required on a range of tasks. You will be flexible in your approach to supporting your teams, with a distinct passion for developing your experience across the business and putting relationships at the heart of everything you do.
The role is split as discussed below:
Personal/ Executive Assistant
Act as a Personal Assistant to the Director of Communications (DOC), including significant organisational, research and representative duties and support proactive decision making in prioritisation/escalation of key issues within the Communications team.
First point of call on all internal compliance and administration, including BCP, IT, H&S, Facilities, Finance etc to ensure the entire Communications Team adheres to correct practices.
Maintain SAP, coordinate diaries, meetings, and other admin as required to support DOC.
Co-ordinate business travel and accommodation arrangements as required whether in the UK or abroad, adhering to travel and expenses policies.
Draft agendas for Heads of Comms (HOCs) and team meetings with direction from DOC. Manage the monthly team meetings by co-ordinating speakers, managing set up and AV and booking rooms.
Management of the Press Office administration, including rotas, allocation of enquiries, office and administration systems to ensure smooth running of the department.
Monitor, compile and distribute media coverage concerning BBC Studios’ corporate output to keep employees informed in the form of a monthly update. (internal only)
Ensure communications activity is logged with the BBC Press Office to ensure consistency of messages and general coordination.
Support on Internal Communications projects when required.
Communications Assistant – Brands & Content Comms
First point of contact for all journalists. Responsible for ensuring calls/emails are dealt with by relevant communications contact within deadline, including BBC Press Office if appropriate.
Research and provide publicity material and other information for the team.
Undertake general administration on behalf of the team including finances, uploading to Media Centre, maintaining updates on the website and intranet, management of cuttings/coverage, ordering stationery supplies, booking meeting rooms, managing diaries, preparing presentations and booking hospitality.
Assist the Head of Artist Relations in booking transport and logistics for various projects and events.
Maintain accurate and up-to-date information regarding communications activity for external and internal communications use, specifically newsletters, weekly activities and a monthly round-up of top coverage.
Support the team on ad hoc projects to deliver business objectives.
