Team Assistant - Business & Legal Affairs

We have an exciting opportunity for a Team Assistant to join the Business and Legal Affairs team. This key role provides first class PA/secretarial duties of both a business and legal nature to the Director, Business & Legal Affairs, Content & Brands and where required to the Director of Co-Production Funding, Head of Business & Legal Affairs, Scripted and Head of Business & Legal Affairs, Factual, supporting them in the professional and timely execution of all of their duties.

Role Responsibility

The role will cover the full range of PA and administrative duties connected with supporting the senior management of the Content & Brands business and legal affairs team.  The role will also cover the full range of administrative duties connected with the smooth running of the office.  More specifically these include:

Providing full PA/secretarial support to the Director, Commercial & Legal Affairs for Content & Brands, and where required to the Director of Co-Production Funding; Head of Business & Legal Affairs, Scripted; and Head of Business & Legal Affairs, Factual.

Diary management, arranging meetings, and ensuring that electronic diaries are kept up to date at all times.  Be the first point of contact for visitors and escort them to and from meetings. 

Making national and international travel arrangements, adhering to the expenses policy at all times.

Assisting in telephone screening, message taking etc. using tact and judgement.

Processing purchase orders and managing payments on SAP to ensure that payments are processed accurately and in a timely manner

Managing all IT requests and other administration to ensure new starters are set up for their first day

Looking after all general office management and providing clerical support as required  (post, stationary requirements, filing, storage, copying, typing, etc.) and keeping team leave and absence records to provide managers with accurate information.

Building and maintain effective working relationships with a range of people both inside and outside the organisation and work co-operatively with others as part of a team.

Maintaining accurate, tidy and up-to-date filing systems, managing collective email and digital filing systems. and handling the input of legal and other information on contracts databases.

Coordinating and collating the receipt of key papers from independent producers and liaising with other divisions of BBC Worldwide in order to ensure information correctly inputted onto internal systems and databases.

The Ideal Candidate

Good attention to detail in terms of dealing with contracts and documentation

Excellent phone manner and ability to use tact and diplomacy

Good organisational skills and ability to set up systems

Ability to work effectively as part of a team, to use own initiative and work efficiently under pressure

Ability to use discretion when dealing with matters of a confidential nature

Working knowledge of computer systems, particularly Microsoft Outlook, Word, Excel and Powerpoint.  Copy typing 60 wpm.
